Terms of Service

1.1These terms apply whenever you use policystack.co.uk (the "platform"), run by PolicyStack, a trading name of ELITE4U LTD, company number 14657268, registered in England and Wales. Registered office: Office 7775, 321-323 High Road, Romford, England, RM6 6AX. Contact us at info@policystack.co.uk.

1.2By creating an account or using the platform, you agree to these terms. If you're agreeing on behalf of an organisation, you confirm you're authorised to do so, and "you" throughout means both you and that organisation.

2.1PolicyStack is built for businesses and organisations running Ofsted- or CQC-registered care services — not for private individuals using it for personal purposes. When you sign up, you confirm you're acting for a business or organisation.

2.2You must be at least 18 and able to form a binding contract to create an account.

3.1You're responsible for the accuracy of the information you give us, for keeping your login details secure, and for activity that happens under your account. Tell us straight away at info@policystack.co.uk if you think someone else has access to it.

3.2One account is for one organisation. Compliance+ allows more than one home under a single account — see the pricing page for the current limit.

4.1PolicyStack gives you a library of policy documents you can browse and buy, an AI-assisted policy checker, and a regulatory-change tracker for your sector. What's included on a free account versus a paid plan is set out on our pricing page, which is the live and current source.

4.2We aim to keep the platform available, but we don't guarantee it will be uninterrupted or error-free. We may take it down briefly for maintenance, and we'll try to do that at low-traffic times and with notice where we reasonably can.

4.3We may add, change or remove features as the product develops. We won't remove something you're actively paying for without reasonable notice.

5.1The platform itself — its software, design, and the un-purchased document templates — belongs to ELITE4U LTD. Nothing in these terms transfers ownership of it to you.

5.2What you're licensed to do with documents you've actually bought is set out in the Terms of Sale §4, not here.

5.3Anything you upload for the AI checker — your own policy documents — remains yours. We process it only to give you the analysis you asked for; see the Privacy Notice for exactly what happens to it.

6.1Using PolicyStack also means following the Acceptable Use Policy — it covers things like not scraping the site, not misusing the AI checker, and not uploading data you shouldn't. It's a separate, shorter page because those rules apply the same way whatever you've bought.

PolicyStack supplies policy templates and automated document analysis. It is not a law firm, not a regulatory consultancy, and nothing it provides is legal or regulatory advice. Our documents are a starting point that you must review, adapt to your service and implement. You remain responsible for your own regulatory compliance. Where the position is unclear or the stakes are high, take advice from a solicitor or a qualified regulatory adviser. We are not affiliated with, endorsed by or approved by Ofsted or the Care Quality Commission.

7.1The AI checker specifically produces an automated analysis that hasn't been reviewed by a person. It may be incomplete or wrong — treat it as a prompt for your own review, not as a finding. This appears at the top of every analysis you run, not only here.

8.1Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else the law doesn't allow us to exclude.

8.2Subject to clause 8.1, our liability arising from your use of the platform is capped on the same basis as Terms of Sale §13 — the greater of what you've paid us in the preceding 12 months, or £1,000. We do not claim to accept no liability whatsoever; that clause sets out the real position.

9.1We may suspend or close an account for a serious or repeated breach of these terms or the Acceptable Use Policy, or where we reasonably believe the account is being used fraudulently. We'll tell you why, and give you a chance to put it right first unless the breach is serious enough that we can't reasonably wait.

9.2You can close your account at any time by emailing info@policystack.co.uk. If you have an active subscription, cancel it first under Terms of Sale §7.5 — closing the account doesn't itself stop billing.

10.1These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction — except where you're a consumer resident elsewhere in the UK, in which case you may also bring a claim in the courts of the country you live in.

11.1We may update these terms as the platform or the law changes. We'll post the new version here with an updated date and version number, and email you in advance of any material change while you have an active account.
