Terms of Sale

The short version

These are the terms that apply when you buy a document pack, a single policy, a subscription or credits from PolicyStack. The short version: documents are supplied straight away so we don't do change-of-mind refunds on them, but if something's wrong we'll fix it or refund it. Subscriptions run to the end of the period you've paid for, no part-refunds. Credits don't expire and never get taken off you — but we don't refund them for a change of mind either. If you're buying as a private individual rather than for a business, see clause 15 — different rules apply to you by law, and we honour them.

This summary is a courtesy, not the contract. The numbered terms below are what governs.

1. Who you're buying from

1.1PolicyStack is a trading name of ELITE4U LTD, a company registered in England and Wales, company number 14657268. Registered office: Office 7775, 321-323 High Road, Romford, England, RM6 6AX.

1.2You can contact us at info@policystack.co.uk. We answer this inbox ourselves — it isn't a form that disappears into a queue.

1.3Prices shown on the site are the total amount payable. We are not currently VAT-registered, so no VAT is added at checkout. If that changes, we'll update our prices and this page before we start charging it.

2. These terms are for businesses

2.1PolicyStack sells to businesses and organisations — limited companies, sole traders and partnerships buying for a service they run — not to private individuals buying for themselves. When you buy from us, you confirm you're buying for the purposes of your business or organisation, and we ask you to say so at checkout and to give us your business details.

2.2If you're genuinely buying as a private individual, tell us — some of the terms below don't apply to you, and clause 15 sets out what applies instead. We'd rather get this right than rely on a ticked box.

3. Document packs — what's supplied

3.1A document pack is a set of named Word (.docx) policy files for your sector, made available to download immediately once payment is taken. There's no physical delivery and no delivery charge.

3.2Packs are priced by tier — Essential (£299), Standard (£599) and Complete (£899). A single policy document can also be bought on its own, priced by the tier it sits in: Essential (£29.99), Standard (£19.99) and Complete (£9.99). Current prices and what’s included in each tier are shown on our pricing page, which is the live source for both.

4. Licence to use the documents

4.1Buying a pack or a policy gives you a licence to use, adapt and keep the documents for your own organisation — edit them, add your own detail, put your name and logo on them, use them across your own sites and services.

4.2You may not resell, redistribute, sub-licence or publish the documents, on their own or bundled with anything else, to anyone outside your own organisation. This licence is for your use, not for onward supply.

5. Price and payment

5.1Payment is taken in full, in advance, by card through our payment processor (Stripe) at the point of order. We don't hold or see your card details ourselves.

5.2You'll get an order confirmation by email straight after payment, with your receipt, your download link, and the confirmation this clause requires.

6. Refunds — document packs

6.1Change of mind. Because the documents are supplied to you immediately on payment, we do not offer refunds if you change your mind.

6.2But if something's actually wrong, we fix it. If the documents are faulty, incomplete, or not as described, tell us at info@policystack.co.uk and we will put it right — by correcting or replacing the affected document at no cost to you, within 30 days. If we can't do that, we'll refund that document, in full or in part as appropriate. This is a real, staffed process, not a form letter — we log every report and follow it through.

6.3Clause 6.1 is only fair alongside clause 6.2 — we don't ask you to accept a document that's wrong, we ask you to tell us so we can fix it.

7. The subscription

7.1The subscription gives you the weekly regulatory brief and a monthly allowance of check credits. Two paid tiers today:

7.2Compliance£19.99 per month, 100 check credits every month — 10 ordinary policy checks. Compliance+ £49.99 per month, 350 check credits every month — 35 ordinary policy checks. Full feature lists are on our pricing page, which is the live source. Browse is free and carries no monthly credits.

7.3Billing is a month in advance. Your card is charged on sign-up and again on the same date every month until you cancel.

7.4Renewal is automatic unless you cancel before your next billing date.

7.5Cancellation is self-service, from your account area, at any time — no email or phone call needed. When you cancel, your access continues to the end of the period you've already paid for, and your account then moves to the free Browse tier.

7.6If we ever change the subscription price, we'll email you at least 30 days before it takes effect on your account, and you can cancel under clause 7.5 before it does.

8. Refunds — the subscription

8.1You can cancel at any time. Your subscription then runs to the end of the period you have already paid for, and we do not refund part of a month. This is what "billed a month in advance" means in practice.

8.2If you're a genuine consumer rather than a business, this clause doesn't fully apply to you in the first 14 days — see clause 15.

9. Credits

9.1Credits pay for AI policy checks. What a check costs depends only on how long your document is, whichever policy it is: up to 10,000 words (around 40 pages) is 10 credits; up to 25,000 words (around 100 pages) is 20 credits; up to 48,000 words (around 190 pages) is 30 credits. The cost of your document is worked out and shown to you before the check runs. Documents longer than 48,000 words are not checked automatically — contact us and we will check the policies inside them individually.

9.2A credit is only spent once a check actually completes and produces a report. If a check fails or errors, you keep the credit — nothing is deducted. If, in the rare case, we can't save your completed report, we automatically return the credit to your balance. You are never charged a credit for a check that didn't give you a result.

9.3You can top up credits at any time, on top of any monthly allowance: 50 credits for £19, 150 credits for £45, or 400 credits for £95. Current pack sizes and prices are shown on our pricing page.

9.4Credits are not transferable to another account and have no cash value outside your PolicyStack balance.

9.5A document you upload for a check is kept, and is used to improve the service. When you submit a document you give us the right to retain a copy of it and to use it internally to find and fix faults in the checker — where its analysis was wrong, what our regulatory corpus is missing, and which policy areas it does not yet handle well. The file is not published, not shared with other customers, and not used to train any AI model. You keep all rights in your own document; this is a licence to use it for that purpose, not a transfer of ownership. If you would rather we did not keep yours, email info@policystack.co.uk and we will delete it. See the Privacy Notice §3.6 and §7.4.

10. Credits — refunds and expiry

This clause is deliberately self-contained so it can be reviewed or amended on its own — read it together with clause 15.3, which gives a genuine consumer buyer a route this clause does not.

10.1We don't give change-of-mind refunds on credits, spent or unspent. In exchange, credits don't expire: unused credits roll over from month to month with no cap and accumulate for as long as your account exists, and credits you've already bought stay spendable after you cancel a subscription, on the free plan. Cancelling never costs you credits you've paid for.

10.2The two halves of clause 10.1 go together: we ask you to accept that a credit can't be handed back once bought, and in return we guarantee it is never taken away from you either — by time, by a cap, or by cancelling. A credit you've paid for is yours until you spend it.

10.3What clause 10.1 does not cover. It is about changing your mind, and nothing else. If credits were charged in error, charged twice, never reached your balance, or a check you spent a credit on failed to produce a report, we refund or restore them — see clause 6.2. Nothing in clause 10.1 limits your rights where we are at fault or have failed to supply what you paid for.

10.4Clause 10.1 is our present policy and is stated to be true for as long as we operate it. We won't apply an expiry date or a cap to credits you've already bought — if we ever changed the policy for future purchases, credits already in your balance would keep the terms they were bought under. "Spendable after cancellation" means on our free plan, which is the plan a cancelled account returns to; it does not keep the paid plan's other features running.

10.5This clause applies to business buyers. If you're a genuine consumer, clause 15.3 gives you a 14-day right to a pro-rata refund of unspent credits that clause 10.1 does not override.

11. Your 14-day cancellation right, and how you waive it

11.1Under distance-selling law, a buyer normally has 14 days to cancel an order for digital content before we're allowed to start supplying it. Because our document packs are delivered immediately on payment, we ask you to waive that waiting period so you can download straight away — that's what the checkbox at checkout does.

11.2At checkout, immediately above the pay button, you're asked to confirm, by an unticked checkbox you must tick yourself:

"I request that PolicyStack begins supplying this digital content immediately, before the end of the 14-day cancellation period. I acknowledge that once supply has begun I will lose my right to cancel this contract."

11.3Your order confirmation email repeats this back to you, with the exact time your download became available, as the law requires:

"Your cancellation right. When you placed this order you requested that we supply the documents immediately, and you acknowledged that you would lose your right to cancel once supply began. Supply began on [date] at [time]. Your 14-day right to cancel this order therefore no longer applies. This does not affect your rights if the documents are faulty or not as described."

11.4Waiving the cancellation window never affects your right, under clause 6.2, to have a faulty or misdescribed document put right.

12. What PolicyStack is, and is not

PolicyStack supplies policy templates and automated document analysis. It is not a law firm, not a regulatory consultancy, and nothing it provides is legal or regulatory advice. Our documents are a starting point that you must review, adapt to your service and implement. You remain responsible for your own regulatory compliance. Where the position is unclear or the stakes are high, take advice from a solicitor or a qualified regulatory adviser. We are not affiliated with, endorsed by or approved by Ofsted or the Care Quality Commission.

12.1For the AI analysis specifically: it's produced by an automated system and hasn't been reviewed by a person. It may be incomplete or wrong. Treat it as a prompt for your own review, not as a finding. This same notice appears at the top of every analysis you run.

12.2This disclaimer describes what you're buying — templates and analysis, not advice — and it doesn't excuse us from clause 6.2: if a document is genuinely faulty or not as described, that's our fault to fix, not covered by this clause.

13. Liability

13.1Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that the law does not allow us to exclude or limit.

13.2Subject to clause 13.1, our total liability to you arising out of or in connection with your use of PolicyStack — however it arises, in contract, tort or otherwise — is limited to the greater of: (a) the total amount you've paid us in the 12 months before the claim arose, or (b) £1,000.

13.3Subject to clause 13.1, we are not liable for loss of profit, loss of business, loss of anticipated savings, loss of reputation, or regulatory penalties or enforcement costs you incur, so far as the law allows us to exclude those.

13.4We do not say, and would not want to say, that we accept no liability whatsoever — that isn't a lawful clause and it wouldn't protect either of us. Clauses 13.1–13.3 are the real position.

14. Suspension and ending an account

14.1We may suspend or end your access if payment fails and isn't put right within a reasonable time after we tell you, or if you materially breach these terms — for example by breaching the licence at clause 4, or the Acceptable Use Policy.

14.2Ending your account doesn't cancel a subscription that's still within a paid period — see clause 7.5 for how to cancel.

15. If you are buying as a consumer, not a business

15.1Everything above is written for, and applies to, buyers acting for their business or organisation. If you're an individual buying wholly or mainly for your own personal purposes — not for a trade, business or profession — you're legally a "consumer", and the law gives you rights the clauses above don't take away, whatever a checkout box said.

15.2Document packs and single policies. Your 14-day right to cancel is lost only where you've expressly asked us to supply immediately and acknowledged you'd lose that right (clause 11) — and even then, your right to a fix or a refund for a faulty or misdescribed document (clause 6.2) is never affected. That right cannot be waived or excluded, by us or by you.

15.3Credits. If you cancel within 14 days of buying a credit bundle or a subscription's first payment, we will refund the credits you haven't yet spent, pro rata to what's unused — regardless of clause 10.1, which applies to business buyers only.

15.4Subscription. If you cancel within the first 14 days of subscribing, we will refund the unused part of that period, pro rata — regardless of clause 8.1, which applies to business buyers only.

15.5How to use these rights. Email info@policystack.co.uk, tell us you're contacting us as a private individual rather than for a business, and which right you're using. We'll refund you within 14 days, to the payment method you used.

15.6If you ticked the business-purpose box at checkout in error, tell us and we'll treat your order under this clause instead.

16. Complaints

16.1If something's gone wrong, email info@policystack.co.uk with your order details and what's happened. We aim to acknowledge within 2 working days and resolve or give you a clear next step within 10 working days.

17. Governing law

17.1These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute — except where you're a consumer resident elsewhere in the UK, in which case you may also bring a claim in the courts of the country you live in.

18. Changes to these terms

18.1We may update these terms from time to time — to reflect a change in the law, our products, or how we work. We'll post the new version here with an updated date and version number, and material changes affecting an active subscription will be emailed to you in advance. The version you accepted at checkout is what governs that order.
